Routines & reminders

Automatic reminders — nudge an owner when a record goes overdue, or send a recurring digest.

What a routine is

A routine runs quietly in the background and notifies the right people — so nothing important sits forgotten. Each routine is a trigger paired with who to tell.

Triggers

  • On a schedule — the routine runs on a repeating interval and reports on the records that match its filter (for example, a weekly digest of everything still open).
  • When a record is overdue — pick a date field on the form (a due date, a target completion date); when that date passes and the record isn't closed, the routine fires.

Who it notifies

Point the routine at whoever should act:

  • the record's current owner — the person responsible at its state,
  • its assignee or its creator,
  • a group, or the people named in a person field on the record,
  • or a fixed list of email addresses.

Overdue reminders are gathered per person — someone with five late records gets one email listing all five, not five separate pings.

Setting one up

Open the Routines builder, choose the trigger and the recipients, and set the filter — which template, which projects, which statuses it watches. The card shows a plain-language summary of what it will do before you save.

Routines are part of the paid plan. On a free or trial workspace the builder is visible but locked, with an upgrade hint.
