Agentic operations: a new productivity model

Agentic productivity · 3 min read

Operations tools made you choose between powerful-but-rigid and easy-but-dumb. An agent collapses that trade-off — and the gains compound across setup, capture and analysis.

The old trade-off

Software for operations work — inspections, audits, checks, incidents, sign-offs, rounds — has always forced a choice. The powerful platforms are rigid: weeks of configuration, a consultant, a change request for every new form. The easy ones are dumb: a flat checklist that can't branch, route or report. Whether you run buildings, kitchens or construction sites, you picked your compromise and lived with it.

An AI agent collapses that trade-off. Instead of configuring software or settling for less, you describe what you need and review what it builds. The same assistant then works alongside the people doing the checks and the people reading the reports. Power without the rigidity; ease without the ceiling.

Where it compounds

Agentic isn't a chat box bolted onto a form builder. It changes the economics at three points in the lifecycle, and the gains stack:

  • Setup. Standing up a template, a workflow, a project structure or a dashboard drops from days of clicking to a sentence and a review. The cost of trying a different structure falls to near zero. → Live in a day, not a quarter
  • Capture. Wherever the work happens, a record is created from a photo or a sentence — the assistant does the structuring, the person confirms before anything is submitted. Data entry stops being the thing that kills adoption. → The fastest form is the one you barely fill in
  • Analysis. The gap between a question and an answer disappears. Ask in plain language and a live dashboard appears; the home screen already ranks what needs your attention. → From clipboard to insight

Each stage feeds the next. Cheap setup means the structure matches the real process, so people actually capture against it. Effortless capture means the data is clean and timely, so the analysis is worth trusting. Instant answers make good capture visibly pay off. That loop — not any single feature — is the productivity model.

Why "agentic" and not just "AI"

A lot of products sprinkle AI on top: a summarise button here, an autocomplete there. Useful, but it doesn't move the needle on the work.

Agentic means the assistant can actually do the work — build a template, set up a project, fill and route a record, assemble a dashboard — using the same tools and permissions a person would, and always inside your data and your access rules. It can't see another workspace, and it can't do anything you couldn't do yourself. The human stays in the loop: the agent works in drafts you review before anything is submitted, and destructive actions require an explicit confirmation.

The shift isn't "now there's a chatbot." It's that the three most expensive parts of operations work — setting it up, getting clean data in, and getting answers out — each get dramatically cheaper, and they compound.

What it looks like in practice

A facilities manager describes a monthly fire-door round, and the template, its conditional rules and its sign-off workflow are drafted in seconds. A food-safety lead says one sentence about a failed allergen spot-check, and a typed incident record writes itself, ready to confirm and route. A construction site lead asks what's overdue on the block B fit-out and gets a chart. Three sectors, three roles, one assistant — and none of them opened a manual, sat through training, or waited on IT.

That's the model. The rest of this series digs into each of the three stages — start with setup.
